Method and citation
Each vendor's own published terms were read through estate-fetch and stored whole (sha256 on every row). For every document, four questions were answered from the vendor's own words: who owns the business's data, vendor keeps aggregated or anonymised use, training AI on the business's data, export at exit. Every stated answer carries the sentence it rests on, checked against the stored text; 'not stated' means the document read does not address the question. A vendor with several documents reads 'varies' where they disagree. 21 vendors, 21 documents.

How it works
You say which systems hold the invoices, for how many years, and where the business stands.
We read that against the invoicing terms, the VAT and record-keeping rules and the buyers on this site.
We write back with what looks licensable, what must be removed first, and whether we would offer it to buyers.
Our fee comes from the business whose invoice records are licensed, and only once a deal is signed: 12.5% of the deal's value, subject to a minimum, when we are its exclusive agent for the whole company or one kind of record, or 10%, subject to a minimum, when the records join a bundle or pooled sale; anything a buyer pays us reduces that fee. No invoicing vendor or buyer named here pays for its place, and nothing on these pages is an affiliate link.
What does your invoice archive hold?
Common questions
Can I sell invoice data to AI if it sits in FreshBooks, Wave or BILL?
Usually the invoices are yours to license: FreshBooks says users retain all ownership rights to their content, Wave that you own your business's private data, and BILL that it does not claim ownership of user data. FreshBooks and BILL also keep a right to use aggregated or anonymised data, so a buyer cannot always be promised that no other version exists.(Invoicing software data terms: every row, with its source)
What happens to our invoices when we close the invoicing account?
Several systems promise nothing. Invoice2go says that after termination you have no further access to the customer data, Wave that it is not liable for deleting or exporting your data, and Paystand reserves the right to delete everything. Versapay allows an export requested within 30 days, and Invoiced keeps the data available for 90 days. Export the full archive while the account is live.(Invoicing software data terms: every row, with its source)
Which part of an invoice archive do AI buyers pay for?
The pattern of the trade: line items, terms, due and paid dates, credit notes and the chase history behind late payments, across years. The customer's name, address and bank details are personal or confidential data to remove or de-identify before a sample leaves the business.(Invoicing software data terms: every row, with its source)
Do invoicing platforms train AI on our invoices?
Most say nothing: 19 of the 21 systems we read are silent on it. Chaser's terms say it may use customers' materials to train and improve its models, and Square's that it may use content for developing, training, testing and improving models.(Invoicing software data terms: every row, with its source)
How long must a business keep its invoices?
In the UK, HMRC's record-keeping notice says to keep business records for VAT purposes for at least 6 years, and the VAT Regulations require copies of every VAT invoice issued and received. In the US, the IRS lists invoices among the supporting documents to keep behind the books and the tax return.(Invoicing software data terms: every row, with its source)
Is licensing invoice data the same as selling invoices to a factor?
No. Selling invoices to a factor sells the right to be paid, which the Uniform Commercial Code treats as a sale of accounts; licensing invoice data hands a buyer a copy of the records and leaves the receivables where they are. If invoices have been factored, check the factoring agreement before licensing the documents.(Invoicing software data terms: every row, with its source)
